This Privacy Policy explains how TradeOps ("we", "us" or "our") collects, uses, shares and protects personal information when you use the TradeOps mobile app, website (www.tradeops.nz) or related services (together, the "Service"). We're committed to handling your information in line with the New Zealand Privacy Act 2020.
1. Who we are
TradeOps is a software service for New Zealand tradespeople and small trade businesses. The contact for privacy enquiries is:

2. What information we collect
We only collect information needed to provide the Service.
Information you give us
- Account details: name, email address, password (hashed), phone number.
- Business details: company name, address, NZBN, GST registration status and number, logo, bank account details (for invoice display).
- Client details you add: the names, addresses, phone numbers and email addresses of your clients.
- Job and invoice content: services performed, prices, notes, line items, dates and times.
- Payment information: processed by Stripe — we never store full card numbers on our servers (see section 4).
- Support content: any messages you send us via email or support form.
Information collected automatically
- Device and usage data: IP address, device type, operating system, app version, basic usage events (e.g. screens viewed) — used to keep the Service running and diagnose crashes.
- Push notification token: if you opt in, an anonymous device token from Apple so we can send job reminders and notifications.
We do not use third-party analytics or advertising trackers and we do not "track" you for marketing purposes as defined by Apple's App Tracking Transparency framework.
3. How we use your information
We use your information to:
- Operate the Service — create your account, schedule jobs, send invoices, process payments.
- Send transactional emails to you and to your clients on your behalf (e.g. booking confirmations, invoice emails). These are sent from
no-reply@tradeops.nzwith your business name and logo. - Send you product updates and important service messages (e.g. "your trial is ending in 3 days"). We do not send marketing emails unless you opt in.
- Provide customer support.
- Detect and prevent fraud, abuse and security incidents.
- Comply with legal obligations.
4. Who we share information with
We share your information only with the service providers we need to run TradeOps:
- Google (Firebase): hosts our application, database, file storage, authentication and serverless functions. Data is stored in Google Cloud regions including the United States.
- Stripe: processes subscription payments and customer card payments. Card data is sent directly to Stripe and is not stored on our servers.
- Brevo (Sendinblue): delivers transactional emails on our behalf. Email content and recipient addresses are passed through Brevo to deliver the message.
- Apple: delivers push notifications to your iOS device.
We do not sell your personal information to anyone. We do not share your client list with anyone outside the providers above.
We may disclose information if required by New Zealand law, a court order or to protect our rights, the safety of users or the public.
5. Where your information is stored
Your data is stored on Google Cloud infrastructure, primarily in the United States. By using TradeOps you consent to your information being transferred to and stored outside New Zealand. The Privacy Act 2020 requires us to ensure overseas providers offer comparable privacy protections, and we use providers that comply with the EU/UK GDPR and similar standards.
6. Your rights
Under the Privacy Act 2020 you have the right to:
- Access the personal information we hold about you.
- Correct any information that is wrong or out of date.
- Delete your account and all associated data — from inside the app under Profile → Delete account, or by emailing us.
- Complain to the Office of the Privacy Commissioner at privacy.org.nz if you believe we've breached your privacy.
7. How long we keep your data
We keep your account information for as long as your account is active. If you cancel your subscription we keep your data for 90 days so you can resubscribe without losing it, and then permanently delete it (unless we have a legal obligation to retain it for longer — e.g. tax records can be required for up to 7 years in New Zealand).
You can request immediate deletion at any time using the in-app delete option or by emailing us.
8. Security
We use industry-standard security measures including TLS encryption for all data in transit, strict access controls on our infrastructure, and hashed passwords. No system is perfectly secure, but we take reasonable steps to protect your information.
9. Children
TradeOps is a business tool not directed at children. We do not knowingly collect information from anyone under 16. If you believe a child has provided us with personal information, please contact us and we'll delete it.
10. Changes to this policy
We may update this Privacy Policy from time to time. Significant changes will be notified via email or in the app. The "Last updated" date at the top of this page indicates when the policy was last changed.
